1. About us
Tech Team Australia (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, disclose and safeguard your personal information when you visit our website or use our IT support and managed services. We comply with the Australian Privacy Principles contained in the Privacy Act 1988 (Cth).
2. Collection of personal information
We collect personal information directly from you when you interact with us: requesting a quote, signing up for services, contacting support, or using our website. We only collect information reasonably necessary for our business functions and activities.
3. Types of information we collect
- Contact details: name, email address, phone number, business address
- Company information and job title
- Technical information: IP address, browser type, device information
- Service history and support tickets
- Payment and billing information
4. How we use your information
- To provide and manage our IT services and support
- To communicate with you about your account or services
- To process payments and manage billing
- To improve our website, services and customer experience
- To comply with our legal and regulatory obligations
5. Direct marketing
We may use your personal information to send you marketing communications about our services, updates and industry news. You can opt out at any time using the unsubscribe link in our emails, or by contacting us directly.
6. Cookies and tracking
Our website uses cookies and similar technologies to improve your browsing experience, analyse site traffic and understand where visitors come from. You can control cookies through your browser settings, though disabling them may limit some features.
7. Security of personal information
We take reasonable steps to protect your personal information from misuse, interference, loss, and unauthorised access, modification or disclosure. That includes encryption, firewalls and secure server environments. No system can be guaranteed completely secure, and we will tell you promptly if that protection fails in a way that affects you.
8. Access and correction
You have the right to request access to the personal information we hold about you, and to ask for corrections if you believe it is inaccurate, incomplete or out of date. To make a request, contact us using the details below.
9. Who else holds your information
Some of the services we use to run the business hold personal information on our behalf. We have chosen Australian-hosted options wherever one exists, so most of it does not leave the country at all:
- Support tickets and the client portal: Zoho Desk, on Zoho’s Australian data centre (Sydney, with Melbourne as secondary). If you create a portal account, your sign-in and ticket history are held there, and Zoho handles that authentication rather than us.
- Remote support sessions: Zoho Assist, also on the Australian data centre. A session only runs while you have it open, and the software removes itself when the session ends. We keep no standing access to your device.
- Enquiries sent through this website: stored on this website’s own hosting and emailed to us.
- Email, files and invoicing: Microsoft 365 and our accounting software, which may process or back up data outside Australia.
- The map on our contact page: embedded from Google Maps. Loading that page asks Google for the map, which means Google sees the request. Nothing you type into our forms is sent to them.
- Spam protection on our forms: Google reCAPTCHA, which looks at how the form was filled in to tell a person from a bot. It does not read what you wrote. Google’s privacy policy and terms apply, and both are linked under the form.
Where a provider is outside Australia, we take reasonable steps to ensure it handles your information in a way consistent with the Australian Privacy Principles. We do not sell personal information, and we do not pass it to anyone for their own marketing.
10. How long we keep it
Enquiries sent through this website are deleted automatically 24 months after they are received, unless they have become part of an ongoing job. Support tickets and service records are kept while you are a customer and for a reasonable period afterwards, so that we can answer questions about work we have done and meet our tax and legal obligations. When we no longer need personal information for any purpose we are permitted to use it for, we destroy it or de-identify it.
You can ask us at any time for a copy of what we hold about you, or ask us to delete it. Tell us which and we will action it. If you have a portal account, deleting it removes your sign-in; ask us separately if you also want the ticket history behind it removed.
11. Notifiable data breaches
In the event of an eligible data breach likely to result in serious harm, we will notify the affected individuals and the Office of the Australian Information Commissioner in accordance with our obligations under the Privacy Act.
12. Privacy complaints
If you have a complaint about how we have handled your personal information, please contact us in writing. We will investigate and respond within a reasonable timeframe. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner.
13. Children’s information
Our services are intended for businesses and adults. We do not knowingly collect personal information from children under 18. If we become aware that we have, we will delete it.
14. Changes to this policy
We may update this policy from time to time to reflect changes in our practices or legal obligations. The updated policy will be posted here with its effective date.
